I appreciate your kind offer of free use of the lodge for the meeting. This will help us much in containing the costs for the event. Confirming our conversation: 1. Party Staff catering will be responsible for the luncheon. As we agreed, the food tables will be set up in the kitchen and I have informed them of this. 2. A drink table will be provided in the meeting room 3. Roanoke County will provide the podium/sound system and two helpers to assist in setup. I have contacted our Parks and Recreation Department with this request. 4. Boxtree Lodge will set up the tables for 65 people with help from two of our staff the morning of the event. 5. Boxtree Lodge will provide directional signs for parking that morning. 6. Boxtree Lodge will provide us with a table for name tags near the entrance to the Lodge 7. Party Staff Catering is providing several floral arrangements -one for the head table and one for each side of the room. 8. Party Staff Catering has asked what size the tables are. I assumed they are 8 foot tables. Is that correct? Please let me know. 9. Either Party Staff Catering or the County will provide hard candy for the tables. 10. You had expressed an opportunity for people to tour your lodge and surrounding area. I will add this information to the bottom of the agenda and have someone make an announcement at the end of the meeting. I look forward to working with you on this special meeting. The TENTATIVE date and place for the next Regional Summit is Thursday, May 10 at 12 noon at Boxtree Lodge which is located in east Roanoke County. I do not have reservations confirmed because Mr. Hammond, the owner, is in Spain until Feb. 19, but I have left word with his office to contact me concerning reserving that date. It is my understanding from our discussions that Mayor Smith and you will send out a letter to the chief elected and chief appointed officials from the other participating localities that will include the following: 1. The date and place for the next summitt 2. The list of subjects that were discussed at the first summit. 3. You will ask each locality to pick 3 subjects for possible discussion at the next summit and ask for the names of two officials to serve on a task force to choose the ONE subject from the list of 3 forwarded by the localities. 4. The task force will meet in March or April to set the agenda and choose the subject for discussion. Roanoke County will send the official letter of invitation out to all the participating governing bodies and chief appointed officials once the date, time and place have been confirmed. Roanoke County will be responsible for lunch and the actual meeting and the task force will be responsible for setting the agenda and choosing the subject. Roanoke County will prepare the agenda for the meeting. I believe this sums up our conversation. I have spent some time this afternoon updating it as chair positions changed after that meeting, etc. I noticed I still have Roanoke Board of Supervisor home addresses and you do not want mail sent there. I will go back and change those if I have to send out a mass mailing in the future. I will trust you to handle those. You will note I have some of our Administrative people on our list. I don't know if you want to include them on your invitation list or not. Some localities brought people with them, County Attorney, most all Administrators (Managers) and some Assistants (i.e. Vinton Assistant Town Manager) came. It is best to get a response from each locality to get a head count. Just a note, there were and are some people who were not specifically invited, but will want to attend, i.e. Beth Doughty, Chamber of Commerce, Wayne Strickland, Regional Alliance, etc. Of course, the media will want to be informed. (I did not feed them.) I gave the caterer a headcount of 50 the first time. It may grow some this time (or maybe not) I don't know how to judge it. If everyone attends the Working Committee meeting on March 30, they may continue to be active. By the way, don't forget to add those names assigned to the Working Committee from each jurisdiction. Most of them are the Administrators along with Chair of Boards, Councils, etc. which are already on the list. Give me a call if you have any trouble or have any questions. Good luck. You may want to ask Elmer and Fuzzy if they may want to give the topic/goal for discussion in your letter. They may know what that will be after the Working Committee meets this Friday, March 30 at 12:00 at the Civic Center. Then again, they may not want to. Just a thought ... I will probably get the letter out by late this week. I will add all the City Managers/County Administrators.
